The Social Secretary at the Embassy of Sweden is an important member of a
team working closely together to ensure efficient management of Embassy
administration and maximise activities’ contribution to Embassy set
objectives. The Social Secretary is also an important representative of the
Embassy to many extern counterparts and service providers. An important
additional assignment is to replace the accountant when on leave. The
Embassy works with digital tools and in a highly results-oriented manner.
Duties and responsibilities include but are not limited to the
following:
• Primary duty: assist the Ambassador with invitations and other
correspondence (outgoing and incoming) and scheduling of
meetings, with everything managed through an electronic calendar
system.
• As necessary, assists diplomatic staff in the promotion and political
affairs section as well as the defense attaché with invitations and
meetings, including through diplomatic note in coordination with
translator.
• As necessary, support to reservations and preparations for official
travel for ambassador, diplomatic staff.
• Coordinating function at events in the residence between guests,
Embassy and the residence's employees. Prepares guest lists and
other arrangements.
• Assists in the organisation of Embassy events such as Lucia and
National Day receptions. Orders invitation cards, coordinates
invitations/attendance, etc.
• Requests quotations in relation to different events such as for renting
premises/hotels, catering and possible entertainment.
• Updates the Embassy’s guest contact and addresses lists.
• Steps into the following functions during absence of the official in
charge:
• Assists in the organisation of Embassy events such as Lucia and
National Day receptions. Orders invitation cards, coordinates
invitations/attendance, etc.
• Requests quotations in relation to different events such as for renting
premises/hotels, catering and possible entertainment.
• Updates the Embassy’s guest contact and addresses lists.
• Steps into the following functions during absence of the official in
charge:
• Assists in the organisation of Embassy events such as Lucia and National Day receptions. Orders
invitation cards, coordinates invitations/attendance, etc.
• Requests quotations in relation to different events such as for renting premises/hotels,
catering and possible entertainment.
• Updates the Embassy’s guest contact and addresses lists.
• Steps into the following functions during absence of the official in charge:
• Cashier
• Translator/Advisor.
• Receptionist.
Other administrative and Embassy tasks will be assigned as relevant.
Qualifications:
• Minimum of 5 years of work experience in a relevant field, with
previous experience from diplomatic services as a strong asset.
• Excellent speaking, reading and writing skills in English and Arabic.
• Excellent organizational skills and ability to work independently with
diligence and attention to detail.
• Effective communication and management skills.
• A positive and open mind-set with proven strong capability to work
in a team.
• Being flexible and able to handle multiple tasks under time pressure.
• Demonstrated skill in using electronic calendars, Excel and other
digital tools for administrative support
• As a representative of the Swedish diplomatic presence abroad, you
are required to adhere to Sweden’s common basic values and ethics.
• Accounting experience or demonstrated ability to learn basic
accounting methods
Conditions of employment:
• Full time employment, 5 days per week.

• Obtaining Embassy security clearance as part of the selection
process.
• If already a non-citizen, legal resident of the Kingdom of Saudi
Arabia, you must have a transferable residence permit.
