Executive coordinator to the Ambassador

The Embassy is recruiting an Executive Coordinator for the Ambassador. This position is central to ensuring effective coordination, communication flow, and administrative support at the highest level of the mission. The role requires excellent interpersonal skills, strong organizational ability, and a high degree of professionalism and discretion.

Role and Main Responsibilities

  • Provide daily administrative and strategic support to the Ambassador.
  • Manage the Ambassador’s calendar, priorities, meetings, and scheduling.
  • Handle the Ambassador’s formal correspondence and contact database.
  • Manage information requests and prioritize inquiries.
  • Coordinate travel logistics including scheduling, planning, and ongoing communication with the on-site team to ensure all logistical and operational needs are met.
  • Coordinate events for the Ambassador and high‑level delegations including organization, follow up, guest assignment, and attendance confirmations.
  • Act as focal point for the MFA Protocol Department and draft verbal notes, invitations and documents in English and Spanish.
  • Perform other relevant duties as needed.

Requirements

  • University degree in public administration, communications, international relations, business administration, or a related field.
  • Minimum 5 years of relevant professional experience in coordination, administration, diplomacy, or executive-level support.
  • Excellent organizational skills with the ability to manage multiple tasks under time pressure.
  • High proficiency in English and Spanish, written and spoken.
  • Strong computer skills (MS Office, Outlook, Teams, etc.).

 Desirable Skills

  • Experience working in a diplomatic mission, international organization, or government environment.
