Vacancy: Administrative Assistant/Receptionist

The Consulate General of Sweden in Hong Kong is recruiting an experienced and service-oriented receptionist/administrative assistant.
Your tasks:
- Assist visitors to the Consulate and deal with general enquiries, including consular matters
- Answer telephone calls to the Consulate
- Social secretary for the Consul General including meeting arrangement and invitation management
- Assist the Consular Officers and the Cashier
- Handle outgoing and incoming correspondence and deliveries
- Keep good order and update information materials in the reception area
- Support transport logistics, procurement and office maintenance services
- Assist with other administrative matters as well as additional Consulate priorities when necessary
The work requires a strong team-work capability as well as an ability to independently perform duties, including taking initiatives and assuming responsibility for the completion and delivery of individual tasks. The administrative assistant/receptionist has a key role as the face of the Consulate to visitors and should be socially skilled and service-oriented.
Essential qualifications:
- Education or training in administration or related fields
- Previous experience from similar work, and/or a profession that requires a service-oriented mindset
- Ability to communicate effectively, both verbally and in writing, in English, Cantonese and preferably Mandarin
- Some knowledge of bookkeeping is meritorious
- Strong team player approach with good interpersonal and cooperation skills
- Strong organizational skills and ability to handle administrative duties in a structured and efficient way
- Good security awareness and understanding the importance of maintaining the integrity of a diplomatic mission
- Willingness and ability to adapt to a different cultural environment
