Vacancy: Program Officer/Program Administrator
The Embassy of Sweden in Pretoria is seeking a Program Officer / Program Administrator for a three year position within the Embassy’s Development Cooperation Section.
Sweden and South Africa share a strong and longstanding partnership, with extensive bilateral collaboration. The Swedish Government promotes South African–Swedish exchanges through seminars, events, and social media campaigns. The Embassy’s overall mandate includes public diplomacy, business and trade promotion, regional development cooperation, and consular services.The Embassy currently employs 33 staff members.
About the Development Cooperation Section
The section has both a thematic and regional focus and works closely with other Swedish embassies in Africa and with the Swedish International Development Cooperation Agency’s (Sida) headquarters in Stockholm. Our work is guided by the Swedish Regional Strategy on Sexual and Reproductive Health and Rights (SRHR) for Africa 2022–2026. In 2025, Sweden signed an agreement with the EU Delegation in Botswana to contribute to the Regional Team Europe Initiative (TEI) on SRHR in Eastern and Southern Africa.
About the Position
The Embassy will implement a project under the above-mentioned Team Europe Initiative. We are therefore looking for a responsible, proactive, and detail-oriented team player with experience in administrative and program support and a strong interest in international development cooperation who can join our team to work on the above-mentioned project. The ideal candidate demonstrates
integrity, builds strong relationships, and takes initiative within established mandates. ExcellentEnglish is required; Swedish is an asset.
Key Responsibilities
• Administrative support for the Team Europe Initiative, including financial administration,
reporting, contract compliance, follow-up, correspondence, registration, and archiving.
• Manage and monitor contributions to implementing partners within the Team Europe Initiative.
• Ensure timely receipt of narrative and financial reports from UN partners involved in the Team Europe Initiative.
• Coordinate events, meetings, travels, and activities related to the Team Europe Initiative.
• Support communication and information-sharing around the Team Europe Initiative.
• Coordinate with other EU Member States active in Team Europe Initiative on SRHR in East and Southern Africa
Requirements
• Strong initiative, self-motivation, and ability to work independently.
• Excellent command of English (written and spoken).
• Strong communication, organizational, and project management skills.
• Problem-solving ability, attention to detail, and efficient administrative skills.
• Three years of progressive working experience in the field of project
management/administration
• Previous working experience from the EU and knowledge of the EU system is a strong advantage.
• Bachelor’s degree in a relevant field (or equivalent experience).
• Ability and interest in teamwork.
• Commitment to the Embassy’s core values of respect, equality and openness.
• Interest in representing Sweden in a professional and positive manner.
The applicant needs to be a South African citizen or have a valid work permit for South Africa.

Employment Conditions
• Three-year fixed-term contract.
• Six-month probation period.
• Individual salary based on experience.
• Additional benefits include a 13th-month salary and medical coverage for the employee and immediate family (spouse and children under 19), among others.
•Applicants must have a clean criminal record. Security clearance from relevant Swedish authorities will have to be obtained based on South African police clearance.
