The Embassy of Sweden in Beirut is recruiting two full time positions      1. Administrative Officer                                                                                     2. Receptionist/Administrative/Consular Assistant

         1. Administrative Officer

The Embassy is recruiting an Administration Officer that will be responsible for property related matters, procurement and service contracts. The position also includes other administration tasks at the Embassy. The Embassy is located in Down Town Beirut and has 27 employees.

Main duties and responsibilities:

- Responsible for service contracts including procurement.

- Assist cashier in financial procedures.

- Responsible property contract and contact with real estate agents and landlords

- Responsible for property matters including contracts and international shipments.

- Assist in administrations tasks at the Embassy, including stationery and office materials.

- When necessary, assist with other tasks in the Embassy.

The work requires an ability to independently and efficiently perform duties, including taking initiatives and assuming responsibility for the completion and delivery of individual tasks.

In carrying out the duties, the admin. officer shall closely co-operate closely with the other staff at the Administrative Section and report to the Head of Administration.

Main Qualifications:

Education:  University degree in business administration, law, economics, social sciences or related fields.

Experience: A minimum of 5 years’ work experience in a similar position or in a related area at an Embassy or in an international company is preferable.  

Skills: Driven, solutions-oriented, excellent intra-personal skills and service-minded. Strong decision-making and problem-solving skills. Ability to independently perform duties and to ensure the completion of parallel tasks, also under periods of a high workload. Solid planning skills, and ability to prioritize tasks. Experience in contracts or procurement an advantage, strong attention to detail. Experience in accounting an advantage, an interest in numbers is necessary. Good verbal and written communication skills. Ability to adapt to a different cultural environment. Excellent knowledge in Microsoft Office programs incl. Word and Excel.

Language: Excellent command of English and Arabic, both orally and in writing. Nordic language skills are an asset, as is French.

Salary and benefits:

The embassy offers an attractive workplace. It’s a permanent position and we apply individual salaries. The Embassy offers 28 days annual leave, medical insurance, a generous pension package and recreational sports and transportation contributions. Opportunities for development and learning are given. The appointment follows the Embassy´s terms and conditions for local staff.

Starting date will be in October 2022 or by appointment. Probationary employment during the first six months.

Working hours are 08.15 – 16.45 (Monday-Thursday) and 8.15 -16.30 (Friday). 30 minutes lunch break.

        2. Receptionist/Administrative/Consular Assistant

The Embassy is recruiting an Administration and Consular Assistant that will be responsible for the reception, incoming calls, booking appointment, assist in consular cases and various administration tasks. The Embassy is located in Down Town Beirut and has 27 employees.

Main duties and responsibilities

- Responding to calls from the public, as well as receiving Embassy visitors.

- Managing the reception and the switchboard including the responsibility of the answering machine.

- Assist in consular appointments for Swedish citizens

- Assist in Notary Services at the Embassy.

- Some IT-related matters, for example instalment of new equipment, office wifi, phone and TV-subscriptions.

- Regularly update the internal telephone list and other contact lists.

- When necessary, assist with other tasks in the Embassy.

In carrying out the duties, the assistant shall co-operate closely with the other staff at the Administrative and Consular Section.

Main Qualifications

Education: Higher level education in administration or related fields.

Experience: At least 3 years of experience in a similar role in an organization or embassy. Experience from practical work with administrative tasks and reception work.

Skills: Solid written communication skills. Excellent intra-personal skills. Service-mindedness. Ability to independently perform duties and to ensure the delivery and completion of tasks with attention to details, also under periods of a high workload. Flexibility and ability to prioritize tasks. Solid planning skills. Outgoing, motivated and ability to work as part of a team. Willingness and ability to adapt to a different cultural environment and to changing responsibilities. Strong skills in Microsoft Office programs incl. incl. Word, Outlook and Excel. The person we seek must be responsible, alert and be able to take own initiatives, be able to work well with others and have a positive, service-oriented manner. 

Language: Excellent command of English and Arabic, ability to translate short texts between the two in writing. Nordic language skills are an asset, as is French.
