Social Secretary/Cashier The Embassy is recruiting a Social Secretary to the Ambassador and political section (50 %) and Cashier (50%) with economic and administrative responsibilities. To be qualified for this position, the applicant should be service-minded, experienced in accounting, keen on details, enthusiastic about teamwork and contribute to creating a pleasant and positive working environment. The main duties and responsibilities will be: -Arrange meetings and coordinate the Ambassador’s agenda and activities, including coordinate the drivers’ schedule with the transport needs of the Embassy; -Overall responsibility for protocol matters towards the Lebanese authorities; -Keep in contact with Swedish and Lebanese authorities; -Answering general enquiries by letter, e-mail and telephone; -Assist in organizing meetings and appointments for other members of the political section, assist in organizing programs for visiting delegations. • Perform cashier functions covering: o Taking care and custody of public money o Taking care and custody of accountable documents o Issuing of receipts o Taking care of travel claims for posted staff -When necessary assist with other tasks in the Embassy; - Substituting for the task of the other cashier. Main Qualifications Education: University degree in business administration, communication, economics, languages, social sciences or related fields. Experience: A minimum of five years working experience in a similar position or in a related area at an Embassy or in an international company is preferable; At least four years of financial experience is required, two years of which must be in cashier area. Skills: Excellent intra-personal skills. Service-minded. Analytical, decision-making and problem-solving skills. Ability to independently perform duties and to ensure the delivery and completion of tasks with attention to details, also under periods of a high work load. Communication skills. Flexibility and ability to prioritize tasks. Solid planning skills. Outgoing, motivated and willing to learn new things. Ability to adapt to a different cultural environment and to changing responsibilities. Strong skills in Microsoft Office programs incl. Word and Excel. Language: Excellent command of English and Arabic, both orally and in writing. Nordic language skills is an asset. Salary and benefits: The embassy offers an attractive workplace. The position is permanent and we apply individual salaries. The Embassy offers 28 days annual leave, medical insurance and transportation contributions. Opportunities for development and learning in many areas are given. Working hours are 08.00 – 16.30 (Monday-Thursday) and 8.00 -16.15 (Friday). 30 minutes lunch break. Admission will be in February/March 2020 or by appointment. Probationary employment during the first six months is practiced. The appointment follows the Embassy´s terms and conditions for local staff. Receptionist and Administrative Assistant The person we seek must be responsible, alert and be able to take initiative, work well with others and have a positive, service-oriented manner. The position as a receptionist means that you will be the first personal contact for the Embassy´s clients, it´s therefore important that you have a positive approach and that you are able to handle stress. Experience from previous similar operations is an advantage. You must have very good ability to speak and write Arabic and English. Knowledge in Swedish or another Scandinavian language is an asset. The Receptionist & Personal Assistant has the primary responsibility for; -Responding to calls from the public, as well as receiving Embassy visitors and clients; -Notary Services at the Embassy; -Managing the reception and the switchboard including the responsibility of the answering machine; - Some IT-related matters, for example instalment of new equipment, the office wifi, phone and TV-subscriptions; - Regularly update the internal telephone list and other contact lists; -Subscriptions, information material as well as the library; -Substituting for the tasks of the Social Secretary in case of absence - When necessary assist with property issues and other administrative tasks which could occur in the Embassy. Main Qualifications Education: Higher level education in administration or related fields. Fluent in English and Arabic. Knowledge of the Swedish language is not required, but would be an important additional asset. Experience: At least 3 years of experience in a similar role in an organization or embassy. Experience from practical work with administrative tasks and reception work. Knowledge/skills: Excellent intra-personal skills. Service-mindedness.
