Open position as Programme Administrator

A fulltime position as a Programme Administrator at the Embassy of Sweden in Chisinau is vacant from 1 October 2025. The position is placed within the section for Reform Cooperation. The section is responsible for implementing the Swedish International Development Cooperation Agency’s (Sida) programmes in Moldova.

WORK DESCRIPTION

The post is a full-time position to work as Programme Administrator supporting the Embassy’s Programme Officers and the Head of Development Cooperation with the programme’s administrative and financial follow up matters.

The Programme Administrator’s duties include:

  • Regular financial planning, follow-up and reporting of the programme contributions - in cooperation with the Embassy’s Programme Officers and the Head of Cooperation - to Sida HQ in Stockholm and to the Moldovan Government, in accordance with Sida’s regulations;
  • Support to colleagues in Sida’s administrative systems, scrutinize contribution payments, draft decisions and partner agreements, contribution budgets, partners internal control systems as assigned by Sida’s regulations;
  • Support in registration of documents, archiving and closing cases in accordance with the Swedish legal framework;
  • Second hand responsibility for the cashier function at the Embassy;
  • Serve as the contact person at the Embassy for Sida’s International Training Programme’s (ITP courses).

The Programme Administrator will primarily report to the Head of Development Cooperation at the Embassy.

The duties will include collaboration with the Sida HQ, Swedish Embassies in the region, the government of Moldova, international donors and partners in Moldova. The programme administrator will take part in activities arranged by Sida’s network for programme administrators. Duty travels within Moldova to participate in the follow-up of contributions to development programmes constitute part of the duties.


QUALIFICATIONS

  • University degree in economics, administration, business administration, social sciences or relevant field;
  • Experience in working with qualified administrative tasks;
  • Experience in working with administrative tasks related to development cooperation, including financial and administrative project management systems and archiving;
  • Language proficiency: fluent in spoken and written English and Romanian/Russian;
  • Good communication skills;
  • Good administrative skills;
  • Good knowledge and experience of using computer programmes (Microsoft Office package).

Furthermore, the applicant must enjoy working in an international workplace and be able to work smoothly in close collaboration with all colleagues at the Embassy. The applicant should also be interested in contributing to the overall work of the Embassy of Sweden in Chisinau.

Knowledge in the Swedish language is an advantage.
