The Embassy of Sweden in Tbilisi invites interested candidates to apply for a temporary position of an Executive assistant to the Ambassador and Receptionist starting in February 2026. The role is offered as a fixed-term contract to cover parental leave for a period of 8 months. The employment will be in accordance with the Embassy’s Locally Engaged Staff Terms and Conditions. The position is full time, 39:45 hours per week, Monday to Thursday 9:00 -18: 00 and Friday 09:00-15:15.
The role works directly with the Ambassador and is part of the team reporting to the Head of Administration. Responsibilities include managing the Ambassador’s calendar and day-to-day meetings, preparing programmes for the Ambassador and coordinate with relevant authorities, the Ambassador’s representation and managing invitations, catering and menu cards for events at the Residence. The position is also responsible for the Embassy reception with switchboard duties, such as handling incoming calls, managing deliveries and welcoming visitors. It is included in this part of the role to coordinate the schedule of the drivers and to do hotel bookings for staff when needed.
Furthermore, the position is responsible for coordinating a working group for a greener Embassy and is the secondary responsible for tasks of the Consular/Administrative Assistant, so tasks related to the consular work and civil legal matters might occur. It is expected that the person will be responsible for other administrative tasks upon request from the Head of Administration. The working language is English.
