Administrative Assistant

Sweden and Colombia have excellent diplomatic relations that’s spans over 150 years. The Embassy of Sweden in Bogotá covers political, commercial and development cooperation relations with Colombia, Ecuador, and Venezuela, as well as regional cooperation in Latin-American. The Embassy also provides consular services to Swedish nationals and migration services to non-nationals.

The Embassy is now looking for an administrative assistant to strengthen the Embassy administrative and consular team. We’re searching for a colleague with excellent interpersonal skills who has ability to organize time, work independently, coordinate, and prioritize multiple tasks to ensure that deadlines are met, and task are processed in a timely manner.

Role and main responsibilities

  • Administrative task connected to the administrative and consular section
  • Management of the reception at the Embassy
  • Support with the Embassy's financial administration
  • Responsible for in and out correspondence with external contacts such as Colombian and Swedish authorities, providers of service and support and courier companies
  • Management of the embassy and diplomatic missions VAT refund (IVA)
  • Assist in the process of purchasing of goods and services to the Embassy
  • Assist and report external and internal representation held in the Residencia.
  • Other section or Embassy duties, such as special assignments, required or decided by head of section

Requirements

  • University or technical degree in an associated field such as Administration, Finical administration, Management, or other relevant discipline.
  • At least 5 years of relevant professional experience related to the position
  • Excellent command of written and spoken Spanish and English
  • Excellent IT skills (including working knowledge of MS office packages excel; Word, PowerPoint etc)

Desirable skills

  • Excellent ability to organize time, work independently, coordinate, and prioritize multiple tasks to ensure that deadlines are met, and task are processed in a timely manner
  • Familiarity with basic accounting principles
  • Knowledge of the Swedish language (not mandatory!)

Personal suitability

  • Excellent interpersonal skills and a strong team player with a will to share knowledge and support colleagues
  • Initiative and ability to work independently
  • Ability to work under pressure
  • Respect for cultural diversity, ability to fit into a diverse team and to establish networks

We offer

Terms and conditions apply through Colombian law and extra conditions apply through Swedish Foreign Ministry agreement regarding or example working hours, vacation days, maternity leave. 

The employment will start with a minimum of 12 months’ probation, with the possibility of prolongation.

An appropriate Colombian work visa will be required if not a Colombian citizen or Permanent Resident. All employees must have a legal entitlement to live and work in the country.
