Vacancy: Administrative and events assistant/officer

The Embassy of Sweden is looking to hire an administrative and events assistant/officer in the Embassy’s development and cooperation section. The development cooperation section consists of a regional hub for democracy and human rights and a SRHR (Sexual and Reproductive Health and Rights) team.

South Africa and Sweden have a long history of bilateral collaboration and enjoy strong bilateral ties. There is a wide range of areas of special interest in Swedish-South African relations, related to international development such as democracy and human rights, economic and social inequalities, sexual and reproductive health and rights, conflicts and climate change. The Embassy also has a strong engagement in private sector relations and security policy.

The development cooperation section is both thematic and regional in its outlook and set-up and works closely with other Embassies in Africa as well as with Sida’s (Swedish International Development Cooperation Agency) headquarter in Stockholm.

The position is tailored to a responsible, proactive, and diligent team-player, with experience from administrative work and with a background in social and/or political science with an interest for international development cooperation.

The right candidate will have strong integrity, good relation-building skills, be opportunity-oriented and have the ability to take initiatives within set mandates. Excellent English is a requirement and Swedish considered an asset. Excellent writing skills in English as well as Swedish will include communicating with development partners as well as colleagues within Sida and other development cooperation sections at other embassies.

Primary responsibilities:

- Perform secretarial and administrative duties for the development cooperation section at the Embassy, including financial administration, reporting and follow up, correspondence, registration and archiving and assisting with travel arrangements.

- Assist both the Democracy Hub and the SRHR team and report to head of the development and cooperation section.

- Assist the section in preparations and coordination for visits, events and meetings, both in South Africa and the region. This includes activities such as coordinate programmes, meetings, travel and accommodation.

- Coordinate events, meetings and other activities for the development cooperation section.

- Support information and communication activities

- The position will include participation in events

- Support Sida staff in contribution management and quality assurance of programmes

- Highly developed organizational and project management skills

- Problem-solving abilities, attention to detail and efficient administrative skills

- Bachelor’s degree (minimum) in relevant field/s

- Ability and interest in teamwork


Applicants who are not South African citizens must hold a valid transferable residence and work permit or have Permanent Residency status in South Africa.

Applicants must have a clean criminal record. Security clearance from relevant Swedish authorities will have to be obtained based on a South African police clearance.
